Cynopsis: Classified

Advantage

05/17/11

Good morning – it’s Tuesday, May 17, 2011, and this is your weekly issue of Cyn opsis: Classified Advantage!

The Hiring of Jane Doe (not her real name)

The following is a cover letter by Jane Doe, which, with her resume, got her an interview. I am presenting this information because Jane got hired.  Her resume, cover letter and interviews, worked.  As much advice as I can give, nothing is more valuable than an example of something that has been successful.  All fictional info is presented below italics.

The Cover Letter:

February 7, 2011
Name of Company
Contact Person (John Cox)
Contact Person’s Position
Address
Town and State
Dear Mr. Cox:

I would like to apply for the Senior Meeting Planner position available at your offices in Springfield USA. The position sounds like a wonderful opportunity to be a part of a unique team and brand. My current position at CURRENT COMPANY, LLC has provided me with experiences that I feel will be a great asset to NAME OF COMPANY. I would be thrilled to share my skills and my outgoing personality with your team.
Over the past few years I have gained the knowledge of planning corporate meetings, social functions, and fundraising events from beginning to end. The skills that I have acquired have prepared me to manage a sales team and execute successful events with smart planning skills with an open mind. I have been involved in selling events, building floor plans, creating contracts with budget conscience clients, communicating the expectations to the correct departments, and executing events. I believe that my experiences in event planning, superior organizational skills, accomplished time management, in addition to my ability of building strong relationships with vendors and key management personnel will be extremely beneficial to NAME OF COMPANY.
My resume highlights my background in event planning and showcases some of the more significant events that I have been a part of. I hope you enjoy reading about my past experience and look forward to speaking with you soon regarding the Senior Meeting Planner position with NAME OF COMPANY. I also look forward to creating fun and exciting experiences for your teammates.

Thank you for your consideration.
Best Regards,
Jane Doe

Notice what was not used in Jane’s letter: Team Player, People Person, Go-Getter, Go To Person, etc.  Jane excluded all hyperbole from her cover letter, and instead, filled the document with information the hiring manager needed to know: her enthusiasm for the job and company and nothing else.

~ ACTIONABLE EXPERT ADVICE ~
Why Do Resumes Look The Same as Each Other?
by Michael Pollock

I believe strongly that a job applicant’s job is to fulfill the wildest dreams of the hirer by presenting themselves in such a way as to lead them to say “Thank goodness you are here  let’s get you on board stat to take care of my problem.”
Clearly your resume needs to shout this out in order to get you to the interview; and while you can intuit up to a point what is keeping that hiring manager up at night, most of what you will be going by will be the job description.  And these often include so many items that it can be really hard to get a bead on what is the thing that really matters to them.

So there is a tendency, perfectly reasonably, for applicants to tailor their resumes to the needs as described in the job spec.  But think of this: all the other 500 applicants are doing the same thing.  They are all reading the same specs and are probably also trying to tailor to suit.  So they too start including the jargon that they see the employer has written.  What are the chances then that 500 cover letters and their attendant resumes are starting to converge on each other?  And there is the poor hiring manager trying to read between the lines and figure out which ones to put on the keeper pile and which ones to pass by quickly.  Yet they all use the same turns of phrase, the same language she had hastily cut-and-pasted one night when she had to post the job.

“Sheesh” she thinks.  “Isn’t anyone going to rise out from this group and make my life easier and solve my problem.  They can’t all be replicants – there must be someone there who has their own point of view about what they can do.”
And shouldn’t that someone be you?

I don’t want to discount the fact that they may be looking for a very straightforward square-peg-square-hole applicant.  They may be thrilled to get their own needs played back to them so beautifully.  And you may indeed be delighted to get a job that is so carefully designed as to be precisely describable.  But that hasn’t got them around the fact that there could be very many indistinguishable resumes and the only way to sort them out is to toss a coin.

So it’s up to you to not just play back what they give you, but to make your pitch unique and arresting  and of course to make yourself the only possible answer to their problem.

~ ASK THE EXPERTS ~
Questions from our Readers
Answered by Michael Pollock

I really enjoy the newsletter and I’m hoping that the experts might be able to provide some insight on the HR software programs that are being used so much by networks and large organizations. I’ve found the process incredibly frustrating and often very time consuming. What I’d really like to know is how quickly does the screening of your resume for key words and responses to their questions eliminate you from the position. I always incorporate key words from the job description into my resume and cover letter, but if they ask, for example “how many years experience do you have in marketing?” and you have 2 1/2 years as opposed to the 3 they are looking for, are you automatically disqualified? There have been a number of positions that I’ve applied (and am qualified for) but never received a request for an interview. As there’s no way to follow up, I’m curious to know what I could be doing wrong or how automated these processes really are.

The level of automation can be quite extensive.  As resumes come into the systems they are parsed  which basically means scanned and entered into a database.  The hirer has the ability to set up questions to which certain answers will trigger automatic rejection.  But this is in the control of the user  the software merely enables it.  Then there a searching phase where the user does what is called a Boolean search where they are searching on keywords so that can look for certain combinations of criteria, for example: ((Project Manager OR Team Leader) AND (MS Project)).  This is most likely to be on skills or job titles  as for the 2.5 years, it is more likely that they will review the employment periods once they have narrowed their pool to those resumes with the required criteria.

So the bottom line is  the automation is very much in the control of the user and it can vary not just from company to company but from position to position.  But it certainly is possible for the user to build in automatic instant rejection if they choose.

How do you translate skills built in another country (like Canada where many of the positions in television are similar in structure and ratings are gathered with the same methodology) to positions we see all the time in Cynopsis? And what process should be done prior to applying for positions to prove legal grounds to work in the U.S.

As you say the structure and metrics are very similar, so on the whole there is nothing you really need to translate for the US  just be sure you are telling the strongest story, bearing in mind the market and company you are pitching.

As to the legal situation, I spoke with a Canadian who recently relocated to NYC and found herself a gig in a big media company.  Here is some of what she told me.

“What I and many other Canadian friends that live here did was first and foremost to decide to make the move and do it. There are plenty of eligible Americans applying for the same position as you and they are available for an interview at the drop of a hat, why would they consider a Canadian? It’s pretty rare to be able to apply for a position and get a job in the US without legal grounds to work here unless you are very specialized. So figure out your visa situation prior to coming. Although it likely won’t be too much of an issue for a company to sponsor you once they decide you are the one they want, to even get them to interview you without visa assurance is hard. Look on the US Visa website and investigate all the various visas possible for you depending on your position.  Research it thoroughly so you can advise their HR department how it works and assure them it won’t be an issue.”
