Cynopsis: Classified

Advantage

05/10/11

Good morning – it’s Wednesday, May 10, 2011, and this is your weekly issue of Cyn opsis: Classified Advantage!

More Bad Advice

I received several emails in regard to last week’s column about bad advice.  A wonderful woman described a situation, that quite frankly, I didn’t know even occurred.  Not only does it happen, but quite frequently.  In effort to educate and entertain you, here is the email:

I am currently an executive assistant to a media executive and work closely with other executive assistants from studios to networks. The biggest annoyance regarding resumes is that many people send their resume straight to the top  the President or CEO of the organization. This would not be an issue if they were applying for a position that would report directly to the person, but let’s be real here, most executives are recruited via a head hunter or a connection. The people submitting are typically 2 to 3 levels removed.
Then, they call the President’s office and inquire about the status of their resume?!?!? Executive assistants do not have time to deal with this and most of the time the resumes will wind up in a file that will eventually get handed over to HR or even worse in the trash. I would strongly suggest to people looking NOT to go straight to the top  think of it this way, if the people currently employed at the organization that report directly to the President or CEO have trouble getting on their calendar why would they think their resume should be a priority?? And, how did it become the exec assistant’s responsibility to find the correct person to hand it over to?? Correct me if I’m wrong but isn’t that part of the submission process on the applicants part?
It’s now become a running joke for many in my position  If an assistant tells you “it’s on my desk,” it’s just another way of saying “it’s not being looked at by the hiring manager.”

Another email I received brought another situation to my attention that, once again, I didn’t consider:

A friend of mine runs a company. He is basically a company of one.
But his website DOES say  send all resumes and portfolios through the post office ONLY, and if you want the portfolios returned, include a stamped envelope. (It even says why – we are a small company with no HR team.)

Another reason why -he doesn’t have the time or resources (printing costs money!!) to print out any resumes he gets via email.
So what does he do with the resumes of the eager young graduates who email him their resumes, looking for jobs or work experience? Delete their emails … if you can’t follow instructions, why should someone hire you?

Points taken, eh?

~ ACTIONABLE EXPERT ADVICE ~
Confidence – The Road To Freedom
by Diane Allen and Mary Kay Wedel

One of the biggest areas for self-improvement in our professional and personal lives is confidence.  A survey of 1,022 people conducted by Uncommon Knowledge, Limited, revealed that 61% cited self-confidence as a problem, a statistic very common among other studies.

Here are some strategies to improve your self-confidence:

Define self-confidence for yourself:  Self-confidence is a state of mind where one feels at-ease with every aspect of existence. Everyone needs to define their own self-confidence.  Start by finishing this sentence:  “For me, self-confidence is. . .”

Understand why self-confidence is important to you: To gain your personal understanding of why it is important, complete this statement: “Self-confidence is important to me because. . .”

What have you missed recently because of your lack of confidence?:  Was it applying for a new job, not participating in a social event, or missing the opportunity to meet someone new?  Reflect on what you missed by answering the question of what you have missed.

Most importantly, what would you do differently if you were more confident?:  It could be in any area of your life.  Whatever that ‘something’ is, put it in writing:  “If I had as much self-confidence as I wanted, I would. . .”

Try these additional confidence practice-builders:

  • Identify what you do well on a daily basis and put it in writing.
  • Select a quote on confidence that really resonates with you. Recite it daily.
  • Feel gratitude about your positive qualities.
  • Enlist the support of a friend, mentor, or coach with whom you can confide.  Our supporters do wonders in helping point out our self-worth.
  • Put yourself in an action-mode.  Select something that you enjoy doing, and make it better every week.  Those actions will most surely build self-confidence.
  • Reward yourself for your accomplishments.  We often neglect to celebrate successes.
  • Identify the freedom that confidence gives you and enjoy it!

As you do the prescribed exercises, you are bound to have some eye-opening thoughts.  The more confident you are, the wiser you will be.  And that’s worth a lot.

~ ASK THE EXPERTS ~
Questions from our Readers
Answered by Diane Allen and Mary Kay Wedel

Who and when does the cover letter get read or scanned? Is it at the same time as the resume, or is the cover letter secondary and only read if the resume passes the first criteria?

The answer to this question really varies, depending on the person screening resumes. At one extreme, some recruiters simply don’t read the cover letter, and just go right to the resume. At the other extreme are those who read the cover letter very carefully.  They do this to quickly see what the applicants say about their qualifications, and to evaluate how well they write.  Of course, there are those in between who will quickly review the cover letter but pay more attention to the resume.  The best way to approach the cover letter is to assume that the recruiter is reading your cover letter very carefully.

There are three common ways to send a cover letter:

  • Type it into the body of an email, and attach the resume separately as a Word-formatted document.
  • Send the cover letter as a separate Word document along with the Word-formatted resume document.
  • Integrate the cover letter into the actual resume document itself; format it in Word and the cover letter will appear as the first page of the resume.

When you are emailing your resume, it’s best to use the first method.  It is much more likely to be read when it is in the body of an email message than to open up a separate attachment. When you are applying for a job to an on-line job board, such as Monster.com, you will see that most of these sites have a section to include a cover letter.  In that case, your cover letter will appear as a separate document.

How does the profile differ from the first few sentences on my cover letter? Isn’t their purpose the same and therefore sound very similar, possibly losing the readers interest due to the duplication? I understand it should be worded differently, but with the two having the same aim, how can I avoid boring the reader?

Your resume and cover letter each have a different purpose.  Your resume presents your work and educational background. Your cover letter needs to be customized to make your experience relevant to the job you are applying for and demonstrate why you would make an excellent candidate.  You can accomplish the objective of cover letter by giving relevant examples of what you’ve done that match with the job description. Show your passion and demonstrate why you and the prospective employer are a good match. State why you like the company by using information obtained from researching the company.  A cover letter should not look like a template  it needs to be special for each employer.
When you genuinely are a perfect match for a position, consider using the T Chart format. After the opening paragraph make a two column chart: on the left side, put a title “Job Qualifications” and list those detailed qualifications from the ad or job description, on the right side, title it “My Qualifications” and list your how your qualifications match those of the job.

It takes time and energy to develop a cover letter but when done right it should convince the employer that you are the person for the job and you will get an interview.  At the interview  you get to share your abilities in person.
